Who or what is Information Enterprises Australia?

Information Enterprises Australia (IEA) is a registered employment agency specialising in the provision of fixed-term contract and permanent library and records management personnel. IEA also provides consulting and training services, and publishes a range of publications related to the information management field.

Is there visitor parking?

There is limited parking available behind IEA's offices. If you are intending to visit us during the day please park in IEA’s clearly designated bays. Please avoid parking in any of the other bays as these belong to the various medical practices and residential buildings in the immediate vicinity. Alternative fee paid parking is available on Parry Street near the Old Fremantle Prison.

Can I register with you?

We are a niche specialist provider of library and records management personnel. If you have experience in the industry and/or qualifications we would love to hear from you. You can now register online, or download the PDF, fill in and return it to the offices if you prefer.

I'm travelling to/around Australia - will I be able to work?

As a registered employment agency, based in Western Australia we get a lot of requests for work from people who are travelling, either interstate or as part of an overseas working holiday. Whilst our interstate visitors should be eligible to work whilst visiting Western Australia, our overseas visitors may not be. As a general rule, only Australian citizens, Australian Permanent Residents i.e., migrants who have not yet become Australian citizens, and New Zealand citizens who have entered Australia on a valid passport, have unrestricted rights to employment. Any other person who wants to work in Australia MUST have a valid temporary visa allowing employment. If you are unsure, please telephone the Department of Immigration and Multicultural Affairs on 08 9261 2225. If you hold the Working Holiday Maker (WHM) visa Sub class 417 you are entitled to work for a single employer for a period of 3 months. This includes IEA. Whilst you may work for a number of clients during this time, you are classed as an employee of IEA, and we are subject to the same restrictions as any other employer you may have whilst travelling through the country. Before being offered any work with IEA, you MUST show proof that you are eligible to work within Australia. Please note you will be asked to bring your passport along to the offices so that we are able to determine if you are eligible to work for us or not.

Do I have to have an ABN to work for you?

As a contract employee of Information Enterprises Australia you do not have to have an Australian Business Number (ABN).

What does it cost to register?

Absolutely nothing, except a bit of your time. We do not charge you for being registered with the employment agency. In fact it is against the law for us to do so. We do however expect to see you and will ask you to make an appointment to come in and see us at a mutually convenient time. This allows us to assess your needs in person, and we also ask you to sit an occupational health and safety induction (OH&S) whilst you are here.

Why do I have to come and see you?

There are a number of reasons why we ask you to come down to the offices and see us. The first is a simple one - we would like to meet you and discuss your requirements in person. We also ask you to bring all qualifications and work status so that we can copy them and add them to file. Whilst you are here, we also ask you to sit a brief OH&S induction. As we are not able to be with you during the contract period (unless we make an appointment to come out and see you that is), we like to know that you are prepared for your new work place. And by asking you to sit through the online induction, and take a short test, we can ensure that you are safe whilst you are working on contract to the host employer.

Do I have to take work if it is offered to me?

Not if you don't want it - no. If after reviewing your circumstances, or attending the interview you decide that the job you have been offered is not for you after all. Then please let us know.

Do I have to go through a client induction as well?

In addition to IEA's own safety and health induction, you may be required to undertake the host employer's induction program. In some cases, you will not be allowed onto site unless you have undergone a site-specific induction. The client has a duty of care as the "host employer" to ensure your safety whilst on their premises. The form of the induction will depend upon the industry sector you have been asked to undertake work with.

Resource Sector: Mine sites and industries on the Kwinana Strip insist that all contract employees undergo both a KIC or MARCSTA induction, as well as the site-specific induction. Both the KIC and MARCSTA courses are supplied by outsourced organisations. You will be expected to sit a test, and on successful completion of the course you will be given an ID card that verifies that you have undertaken and successfully completed the training. Only when you have completed this course will you be allowed to undertake the site-specific course for each site that you visit. This is compulsory and you will not be allowed onto site until you have completed this.

Other sectors: The induction you will be expected to undertake in a typical organisation varies depending on the company or organisation.

You should be advised of the following:

· What the job involves.

· The host employer's health and safety policies and procedures.

· Safe work methods and use of equipment.

· Potential hazards and what the host employer has done to remove or control them.

· The use of personal protective equipment.

· Supervision and training.

· The workplace's consultative processes for occupational safety and health.

· What you should do if you are injured at work.

· How to report incidents, injuries, near misses and generally unsafe work practices.

· First aid procedures.

· Emergency evacuation procedures.

· Safety signage in the work area.

How soon can I start work?

That depends on your current circumstances and the needs of the client. If you have to give notice with your current employer, then we will advise the host employer and arrangements will be made that are mutually beneficial. How soon you start work is also dependent on the work that you require and whether or not there are any positions avaiable.

Am I covered for workers compensation?

As a contractor with IEA you are covered under the Western Australian Workers Compensation & Injury Management Act 1981, Workers Compensation and Injury Management Regulations 1982, Workers Compensation Code of Practice (Injury Management) Regulations 2005 and the Workers Compensation (Common Law Proceedings) Act 2004 whilst you are working on a fixed-term contract with a client through IEA.

Am I covered for public liabilities?

IEA covers you for all public liability insurance for the duration of each fixed-term contract undertaken, and provides cover, should you become liable for compensation, following injury or damage to a third party.

What are minimum leave entitlements?

As a contract employee of IEA, you are paid an hourly rate which indicates a 25% loading for leave entitlements, including holiday and sick pay.

Who pays my tax and super?

Whilst you are on contract through Information Enterprises Australia (IEA) you are deemed to be a contract employee of IEA, and therefore IEA is bound by law to pay tax to the Australian Taxation Office on your behalf. At the commencement of your first contract with IEA you will be sent a “Tax File Number Declaration” form. This MUST be filled in and returned to IEA within 28 days. If this form is not returned to the office within the specified time frame, IEA must deduct tax at the highest rate. A word of caution. If you are working for more than one employer, please ensure that you only claim the TAX FREE THRESHOLD from one employer. It is advisable to claim this benefit from the employer with whom you are committed to do the most work for. However, if your circumstances change – you should fill in a new form. This ensures that you are paying the correct amount of tax, and should not be liable for a tax debt at the end of the year.

Can I nominate my own super fund?

Yes you can. Please let us know the details of your superannuation fund when you receive your very first contract package. However, if you do not have a superannuation fund, we can open an account for you. If at any time you decide to change funds, please advise us as soon as possible.

How much superannuation am I entitled to?

The amount of money contributed to your superannuation fund equals the levy required by the Superannuation Guarantee Act, and is adjusted to meet all legislative changes. Contributions are made on a quarterly basis.

When do I get paid?

We pay on a fortnightly basis and is based on the hours that you work and is stated in the timesheets that you send. A calendar of pay dates is sent out to you at the start of the year, or the start of your first contract with IEA.

Do you ask me before you put me forward for a position?

Yes we do. We always telephone and ask if you are interested in being put forward for work. You are always have the right to say no to any and all work opportunities that do not meet your current circumstances and requirements.

Do you disclose my personal information?

When you are being put forward for a position, all personal details (including referees) are removed from your CV/Resume, with the exception of your name. However, we may disclose your information where we are under a legal duty to do so, for example - to the Australian Taxation Office (ATO) and to your superannuation fund. IEA also contracts out a number of services, and our contractors may see some of your personal information. These contractors are IT and database designers and Accounting services.

What happens if I am sick and unable to work?

Please telephone the office and let us know as soon as possible. We can advise the client on your behalf. If you absent from the host employers premises for a prolonged period of time you will also need to obtain a doctors certificate.

What do I do if I have a problem whilst at work?

If you are experiencing difficulties whilst you are on a fixed term contract with a client, it is vital that you inform us as soon as you are able. If we do not know that you are experiencing problems, then we will not be able to help you. Where deemed necessary, the Customer Services Manager and/or the Employment Liaison Officer will make an appointment with the Client and yourself at the Client’s premises in order to determine the extent of the problem(s) and to see if an agreement can be reached between all parties. At any stage, you may ask to be removed from a fixed term contract position, and a replacement will be sought. This does not affect any future work opportunities you may undertake through IEA.

What happens if I find work elsewhere?

Because IEA cannot guarantee continuity of work, you are welcome to register with other employment agencies, or to find permanent work, should you wish to. If you gain employment outside of IEA we would appreciate it if you could let us know as soon as possible so that we can remove you from the list of available people. If you are working on a fixed term contract for IEA, and you need to resign from your position, please let us know as soon as possible so that a replacement may be found. Please indicate (where possible) the length of contract and your next availability. This ensures that we do not contact you before your new contract expires, but also, if suitable positions do become available, we can let you know. At the beginning of each year, IEA sends out a form asking if you would like to remain registered with IEA. If you do not return this form we will remove you from our list of available people. However, you are more than welcome to re-register with the agency at any time.
